AI in property management: what is actually happening in 2026?

PropServ’s latest insight report looks at what AI maintenance triage is really doing inside letting agency portfolios today, based on data from a platform now used by more than 250 agencies.

That is the central message from PropServ’s 2026 insight report, which looks at what AI maintenance triage is actually doing inside letting agency portfolios today.

The report, written by PropServ CEO and Co-founder Sam Smith, is based on the platform’s experience supporting more than 250 estate and letting agencies.

The question is no longer whether AI belongs in the maintenance workflow. It is how quickly agencies can put it to work.

From marketplace to AI platform

PropServ began in 2024 as a movers marketplace, built with the buy-in of more than 100 tradespeople.

Two years later, the business has become a full AI property management system used by more than 250 estate and letting agencies.

That shift, from marketplace to AI platform, reflects a wider change in how agencies are thinking about maintenance, triage and the property manager’s workload.

What began as a simple AI ticketing system has since developed into an agentic AI conversational agent that can triage reports, dispatch the right contractor and scan supporting documents such as warranty paperwork or appliance manuals.

The scale of the maintenance problem

Before AI gets involved, the scale of reactive maintenance is already significant.

A property manager overseeing 150 units should expect around 600 tenant maintenance reports a year, roughly four per property. Budgeted properly, that adds up to around £227,000 a year in landlord maintenance spend across that portfolio.

That is the baseline. It is also where the case for AI either holds up or falls apart, because every claim has to be measured against real report volume, not a hypothetical one.

Where AI is genuinely earning its keep

Across PropServ’s platform data from this year, close to three in ten tenant reports are resolved through AI triage alone, without ever needing a contractor visit.

These are the reports that used to sit in a property manager’s queue before someone worked out they did not need a callout at all.

Examples include:

  • A blown lightbulb mistaken for an electrical fault
  • A tripped fuse
  • A router that needs resetting
  • A boiler that needs re-pressurising rather than repairing

That is not AI replacing a trade.

It is AI doing the triage a busy property manager does not always have time to do properly at 4pm on a Friday, and doing it consistently across every report.

What AI still leaves to a person

It is important to be clear about what AI still leaves to a property manager.

Plumbing alone accounts for around one in five of all reports PropServ sees, and the majority of those genuinely need a qualified contractor on site and a property manager who can make a judgement call.

That might mean managing a difficult tenant conversation, handling an insurance claim or keeping a compliance deadline moving.

AI’s job is to make sure that when a person does need to get involved, they arrive with the full picture already gathered.

A bigger role, not a smaller one

The property manager’s job is not shrinking. It is changing shape.

Taking repetitive triage and reporting off a property manager’s desk, including the load that used to mean being tied to the office to process it, creates more room for the part of the job that was always more valuable: the relationship.

That could mean having time for a coffee with a landlord to talk through their portfolio, or being free to meet a tenant in person ahead of a significant let rather than managing the whole move-in over email.

The real shift:

The role becomes more relationship-led, not less, and more flexible about where and how the work gets done.

That matters because it lets agencies offer a more personal, front-of-house service where it counts, without giving up the efficiency AI brings to the reports that do not need that level of attention.

Looking ahead

As AI takes on repetitive admin and triage, the parts of the property manager role that always mattered most get more room to breathe: landlord relationships, tenant experience and judgement calls.

That is the direction PropServ has built around, and the direction the technology is likely to keep moving in.

AI is not making property managers less important. It is giving them back the time to do the work that actually needs a human.
