Overview
Property maintenance is broken. Agents are buried in repeat calls, tenants wait days for updates, and operators bleed margin on jobs that never needed a contractor in the first place. PropServ fixes that. Our AI-powered platform lets tenants report issues via VoiceLine (AI phone), web, or mobile, then uses agentic AI to triage, troubleshoot, and dispatch automatically. We integrate directly with leading CRMs. Already trusted by 500+ companies and accredited by RICS, PropServ is built for letting agents, property managers, and build-to-rent operators who want to cut costs, save hours, and deliver a tenant experience that actually feels modern.
Problems we solve for agents
Property maintenance is the most time-consuming, lowest-margin part of any letting agency. Property managers waste hours triaging tenant reports, chasing contractors, coordinating quotes, updating landlords, and processing invoices. Most issues never needed a contractor in the first place. Meanwhile, regulatory pressure from Awaab's Law and the Renters' Rights Act is increasing both the compliance burden and the cost of getting it wrong.
PropServ replaces this entirely. AI triages tenant reports instantly, routes work to vetted contractors automatically, and turns maintenance from a cost centre into a profit centre through automated commission, all with zero admin.
Reviews
PropServ operates on a simple per-unit subscription model designed to scale with the agency's portfolio.
Subscription: £1.50 per unit, per month, with a minimum spend of £300 per month for portfolios of 300 properties or fewer. Above 300 units, pricing flexes directly with portfolio size, so agencies only pay for what they manage.
Set-up fee: £500 plus VAT, covering platform configuration, data migration (one-click CSV upload or direct CRM integration), team training, and dedicated onboarding support.
Contract: Standard 12-month minimum term for best value, with a monthly rolling option available at a premium for agencies preferring greater flexibility.
All pricing is exclusive of VAT.
ROI
PropServ delivers measurable return on investment through three primary value drivers: 1. Cost recovery from day one. At £1.50 per unit per month, an agency managing 200 properties pays £300 monthly. A single avoided unnecessary contractor call-out (typically £80 to £150) pays for around half a month of the platform. AI tenant triage filters out non-issues, tenant-fixable problems, and miscategorised reports before a contractor is ever instructed. 2. Property manager time reclaimed. Agencies typically spend significant property manager time on maintenance admin: receiving reports, chasing contractors, coordinating quotes, updating landlords, and processing invoices. PropServ automates the entire lifecycle from tenant report through to contractor instruction, payment, and landlord notification, freeing property managers to focus on portfolio growth and landlord retention rather than maintenance coordination. 3. New revenue stream. Agencies earn automated commission on contractor work routed through the platform, with weekly Stripe payouts and zero admin overhead. This converts maintenance from a cost centre into a profit centre. Many agencies see commission earnings exceed their PropServ subscription within the first months of use. 4. Compliance protection. With Awaab's Law mandating fixed response timelines for damp and mould, PropServ's AI mould detection, severity scoring, and automated compliance deadlines reduce regulatory exposure that could otherwise result in fines significantly exceeding annual platform costs. Most agencies see PropServ pay for itself within the first quarter of use, with measurable time savings and net-positive contractor commission earnings from month one onwards.
Setup / Onboarding
PropServ is built for instant set-up. Agencies can be live and using the platform from day one, with one-click CSV upload or direct CRM integration handling the entire data migration in a single step. There's no lengthy implementation project, no waiting on technical resource, and no manual data entry.
Once an agency signs up, they choose how to bring their portfolio across: a CSV upload for instant bulk import, or a direct integration with their existing CRM. Either route gets tenants, properties, and core data into the platform in minutes rather than weeks. Contractors are added through a self-serve onboarding flow that runs in parallel, so the agency is never blocked waiting for their supply chain to catch up.
A dedicated onboarding lead is on hand throughout to answer questions, run training sessions for the team, and make sure the agency is getting full value from day one. For most agencies, this means going from signup to fully operational on the same day.
Training & Support
Training and support programme
PropServ offers a structured onboarding and ongoing support programme designed to get agencies live quickly and keep them productive.
Onboarding (first 30 days)
Every new agency is paired with a dedicated onboarding lead who runs a kickoff session to map workflows, configure triage rules, and align the platform to the agency's existing processes. Setup includes CRM integration, contractor network configuration, tenant communication channels (VoiceLine, web, mobile), and team training sessions for property managers and front-of-house staff. Live deployment typically completes within two weeks.
Training
Role-based training sessions are delivered live via video for property managers, branch staff, and senior leadership. Sessions are recorded and added to the agency's private knowledge library for future reference and new starter onboarding. A live training environment is available so teams can familiarise themselves with the platform before going live.
Ongoing support
Agencies have access to in-app chat support during business hours, email support, and a dedicated account manager for commercial and strategic queries. Quarterly business reviews are offered to all 12-month contract clients, covering platform performance, maintenance trends, contractor performance, and regulatory updates relevant to the agency's portfolio.
Knowledge resources
A comprehensive help centre, video walkthroughs, and best-practice guides are available to all users. Updates and new features are communicated through a monthly product newsletter and in-app release notes.
Regulatory guidance
Given the pace of change in UK lettings (Awaab's Law, Renters' Rights Act, Section 21 abolition), PropServ provides regular regulatory briefings and ensures the platform stays aligned with current legislation, so agencies can rely on it as part of their compliance workflow.
